Medical - Clerical and AdministrativeUnder the direction of the Manager and with minimal supervision, the Secretary II establishes and performs office management functions for the Respiratory Services Department at RGH. Provides
administrative assistance to the Manager , establishes office administration policy and procedures, performs ESP duties, time card submissions, payroll processes, and completes delegated department
human resource processes including e-People applications. Responsible for daily management of the staffing schedule and ensuring its ongoing maintenance by RSS. Provides secretarial support to
supervisors and educators. Responsible for ensuring office efficiency and for the orientation, training and supervision of casual secretaries and other clerical staff. Performs advanced computer
operations including preparing reports, templates, spreadsheets and other related duties.

Employee Class: Temporary Part Time
Rates of Pay: Minimum: 22.22 per hour Maximum: 25.48 per hour
Qualifications:
- Grade 12 diploma or equivalent.
- Graduate of recognized secretarial or business college.
- Medical terminology course.
- Three to five years of senior level secretarial experience, preferably in the health care setting.
- Supervisory and staff training experience an asset.
- Comprehensive knowledge of office practices and procedures.
- Established computer experience with proficiency in Microsoft Operating System and Microsoft Office Applications.
- Experience with staff scheduling for a 24 x 7 clinical service required.
- Experience using ESP 3.6 processes required.
- Working knowledge of Internet Explorer, Netscape Messenger and Corporate Time.
- 60 wpm keyboarding.
- Minute taking and/or dictaphone skill desirable.
- Demonstrated ability to establish priorities, use good judgment to make independent decisions, exercise initiative and problem solve.
- Demonstrated ability to work in a fast paced, high volume, changing work environment.
- Demonstrated excellent organizational skills; detail orientated and concerned with accuracy.
- Demonstrated excellent oral and written communication skills.
- Demonstrated tact, diplomacy, flexibility and ability to maintain confidentiality.
- Demonstrated ability to work independently as well as in a team environment.
- Ability to provide effective leadership and mentoring for the more junior clerical staff.
- High degree of professionalism with dealing with urgent matters and sensitive information.
